About Swosti Group
Swosti Group of Hotels began its journey in 1981 and has grown into one of Odisha's established hospitality groups.
The group currently operates five properties across Bhubaneswar, Puri, Chilika and Gopalpur, including Swosti Grand, Swosti Premium, Swosti Chilika Resort, Swosti Premium Beach Resort and Swosti Gopalpur.
Together, the portfolio spans 466 rooms, 38 restaurants and 29 banquet venues.
With plans to expand beyond Odisha and explore hotel acquisitions and management contracts, Swosti Group is looking at technology as an important part of how it will manage and grow the business.
The Challenge
For a multi-property hotel group, having the right information is only useful if it is available when it is needed.
Before moving to the cloud, Swosti Group relied on an on-premises property management system. Getting a complete picture of the group's business meant collecting information from individual properties, waiting for updates and bringing the data together.
For senior management, this made it difficult to get an immediate view of the group's performance and operations.
As Santosh Kumar Nayak, Group Vice President & CFO, Swosti Group, explains:
"Earlier, accessing reports meant reaching out to individual properties, waiting for updates, and compiling information manually."
The challenge was not simply the reporting process itself. The delay meant that senior management had to depend on others to provide information before they could assess what was happening across the business.
The Goal
Swosti Group wanted to move away from a traditional on-premises setup and make business information easier to access across its properties.
The group was looking for a solution that could help it:
Access reports without depending on individual properties
Get a consolidated view of the business
Make operational information available to senior management in real time
Simplify reporting across five properties
Improve visibility into day-to-day operations
Support faster and better-informed decisions
Build a technology setup that could support future expansion
For Swosti Group, the move to the cloud was also about making hotel operations easier for its teams and management.
The Solution
Swosti Group transitioned from its on-premises property management system to Yanolja Cloud Solution's AI-Native Hotel Management System.
The move brought the group's hotel operations and reporting onto a cloud platform, giving senior management access to information across its five properties from a centralized dashboard.
Group-wide visibility
Instead of waiting for individual properties to send reports, management could access business information directly through the platform.
"Having the cloud version of Yanolja, we see that, you know, we are very much benefited with that. Having you with us, we have enabled ourselves, getting all the data on our fingertips."
This gave the leadership team a clearer picture of what was happening across the portfolio without having to depend on separate property-level updates.
Instant access to reports
Reporting became one of the most significant changes for the group.
The information that previously required coordination between properties could now be accessed through the cloud platform.
For Santosh Kumar Nayak, this has been the standout benefit:
"Maybe the only one word that comes to my mind is your instant reports for the senior management. The reports are the breakfast to become the champions of the business. So the instant reports is what I would say is the master stroke. I don't have to depend on anyone."
A more connected approach to hotel operations
With the group operating across multiple destinations and managing rooms, restaurants and banquet venues, having business information available through one platform has helped create greater visibility across the portfolio.
Implementation and Transition to the Cloud
For Swosti Group, the move to YCS involved transitioning from its traditional on-premises property management system to a cloud-based platform across its five properties.
The change was part of the group's wider approach to modernizing its technology infrastructure. Rather than continuing to depend on property-level systems and manual reporting, Swosti Group moved its operations onto a platform that gives senior management access to information across the portfolio.
The transition has also been well received by the teams using the system. According to Swosti Group, its teams have adapted well to the platform, with the user-friendly interface making the move from the traditional system easier.
The cloud setup now gives the group a common platform across its five properties, creating a more consistent way to access operational information and reports as the business continues to expand.
From Delayed Reports to Real-Time Visibility
The move to the cloud changed how Swosti Group accesses and uses its business information.
Before YCS
Reports had to be collected from individual properties
Senior management depended on property-level updates
Information had to be compiled manually
Getting a complete group-level view took time
Decision-making could be delayed by the availability of reports
With YCS
Reports available through a centralized platform
Group-level information accessible to senior management
Business data available at their fingertips
Real-time visibility across properties
Faster access to information for decision-making
For a group operating five properties across Odisha, the difference is particularly relevant as the business prepares for its next stage of growth.
The Results
1. Senior management gained instant access to reports
The biggest change for Swosti Group has been the ability to access reports without waiting for individual properties to share information.
Senior management can now access the group's business information through the cloud platform, making it easier to monitor operations and stay informed.
2. Reporting became more centralized
With five properties operating across different destinations, collecting information property by property was a time-consuming process.
YCS gives the group a centralized view, reducing the need to depend on individual properties for routine reporting.
3. Decision-making became faster
Having information available when it is needed allows the leadership team to review the business and respond without waiting for reports to be compiled.
For Swosti Group, this has made real-time access to business information an important part of day-to-day management.
4. The transition to cloud has made operations easier
Swosti Group sees the move from an on-premises PMS to the cloud as a practical step towards simplifying the way its properties are managed.
As Santosh Kumar Nayak puts it:
"It is only going to make our lives easy, your lives easy. You decide to get into cloud, you get all the MIS reports on your fingertip."
5. A stronger technology base for future growth
Swosti Group is looking beyond its current five properties, with plans to expand its presence outside Odisha through acquisitions and management contracts.
Having a cloud-based system across its existing portfolio gives the group a more connected technology setup as it looks at its next phase of growth.
Beyond Reporting
For Swosti Group, the move to cloud technology is part of a broader change in how it thinks about technology in hospitality.
The group sees technology as more than a system for managing hotel operations. From the moment a guest starts considering a booking to the time they check out, technology has a role to play in shaping the guest experience.
The group is also looking at the growing role of artificial intelligence in hospitality. With plans to explore AI across the guest journey, Swosti Group sees an opportunity to use technology to make operations easier while creating better experiences for guests.
As the group looks to expand beyond Odisha, this focus on technology will become increasingly important in managing a larger and more diverse portfolio.
Customer Perspective
For Swosti Group, the value of moving to the cloud comes down to having the right information available at the right time.
"Technology today for us is not only a software, but it is something where you create service, you impress them prior to arrival."
The group also believes other regional hotel chains that are still using traditional on-premises systems should consider making the move to cloud technology.
"You decide to get into cloud, you get all the MIS reports on your fingertip. It makes the team much more cautious that whatever operation they do, they have to do it right, because the MIS is flowing, because the reports are now easily available with the senior management."
What's Next for Swosti Group
Swosti Group is preparing for its next phase of growth beyond Odisha, with plans to explore hotel acquisitions and management contracts in new markets.
At the same time, the group is looking at how AI can play a greater role across the hotel journey, from reservations through checkout.
With its five existing properties now connected through a cloud-based platform, Swosti Group has taken an important step towards building a more accessible and connected approach to hotel management as it continues to grow.
